Refund Policy
At Woods Media Promotions, we do our best to deliver high-quality work that aligns with each client’s goals. While we don’t offer blanket refunds, we do believe in being fair. Refunds are considered on a case-by-case basis under the following guidelines:

1. When Refunds May Be Considered
Refunds may be issued in specific situations, including:
- No work has begun and the client cancels before the project starts.
- Work has not begun and the project is significantly overdue.
- A milestone with a specific delivery guarantee is missed (only if this was agreed upon in writing).
- The final result falls far below the standard and scope agreed upon, and cannot be resolved with revisions.
- We are unable to complete the work due to illness, emergencies, or technical issues that significantly delay the project.
- If we need to abandon the project, a full or partial refund will generally apply.
- If the client abandons the project, a refund may be considered depending on how much paid vs unpaid work was completed.

2. Non-Refundable Situations
Refunds are generally not offered when:
- The agreed scope of work has been completed and agreed upon as completed.
- The client changes their mind after delivery.
- The project is delivered on time and to the agreed standard.
- Ad spend or external costs were paid directly to third parties (e.g. Meta, Google, website providers).
- Time was spent on consulting, design, research, admin or creative direction, these are considered billable once delivered, even if results aren't guaranteed.

3. Revision Before Refund
If you’re not happy with the result, you must give WMP the opportunity to revise the work before requesting a refund. In most cases, we will happy to make adjustments to align better with the brief.

4. Refund Request Time Limit
Refunds must be requested within 30 days of the project or agreed deliverables being completed. After this time, the project is considered final.

5. Refund Processing
Refunds will be processed via the original payment method unless otherwise agreed. Please allow up to 10 business days for the funds to reach your account.
Service Terms / Scope of Work
Our services will be clearly outlined in your proposal, invoice, or agreement. These terms include:

Work outside the agreed scope may incur additional charges and must be approved in writing before proceeding.
Intellectual Property Rights

Upon full payment, ownership of the final deliverables transfers to the client.

Woods Media Promotions retains the right to showcase completed work in our portfolio and marketing material.

Pre-existing templates, frameworks, or proprietary systems remain the intellectual property of Woods Media Promotions.

Clients may not resell, duplicate, or repackage our work without written permission.
Privacy Policy
We respect your privacy and are committed to protecting your personal information.

We collect your name, email, phone number, and business details solely for the purpose of providing services. Your data will never be sold or shared without your consent, unless required by law.

Quote, Invoice & Service Terms
1. Payment Terms
All invoices are payable in full within 30 days of the invoice issue date unless otherwise agreed in writing. Accepted payment methods include bank transfer, card, and other standard options. Cryptocurrency may be accepted upon request and subject to agreement. For larger projects, part payments may be arranged (e.g. a deposit followed by final instalment). If payment is not received within the agreed timeframe, a late fee of 5% of the outstanding balance may be charged for every 14-day period that the payment remains overdue.

2. Scope of Work
Quotes provided are based on the outlined scope discussed at the time of agreement. This may include (but is not limited to) a general outline of deliverables such as quantity, platform, or type of creative work. A more detailed breakdown can be provided upon request. Work outside the agreed scope may be subject to additional charges, quoted separately or billed at an hourly rate of $60 AUD. Unless otherwise stated, there is no limit to revisions, but unreasonable demands (e.g. excessive or repeated revision requests beyond typical expectations) may incur additional costs.

3. Timelines
All timeframes provided are estimates only and subject to client responsiveness. Delays in content provision, feedback, or approvals may affect the delivery schedule. If there is an extended period of no contact or unresponsiveness from the client, the project may be paused or cancelled at the discretion of Woods Media Promotions.

4. Ownership & Usage Rights
Ownership and full rights to the final deliverables are transferred to the client only after full payment has been received. Until then, Woods Media Promotions retains full rights. We reserve the right to showcase completed work, or excerpts of it, in our portfolio, on our website, and across social media for marketing purposes unless the client states against this in writing. Where pre-designed assets or templates are used as part of the work, this will be in accordance with applicable licensing and is a standard part of our process.

5. Cancellation & Refunds
Clients may cancel a project at any time. If a deposit or upfront payment has been made, no refund will be issued for work already completed or time already spent. In the case of a cancelled project that has not yet been started, refunds may be issued at our discretion. Once work has been delivered in full, no refunds will be provided. For ongoing monthly services, cancellation must be requested at least 7 days before the next billing cycle to avoid being charged for the following month. 6. Client Conduct & Reasonable Expectations
Clients are expected to engage respectfully and in good faith. While we aim to be flexible, repeated or unreasonable demands - such as ongoing changes to completed work or expectations outside the original scope may result in additional charges or reassessment of the agreement. Where specific guarantees (e.g. performance, satisfaction) have not been clearly stated in writing, none should be assumed.

7. Confidentiality
Woods Media Promotions treats all sensitive client information with care and discretion. Any proprietary business materials, strategy documents, or login credentials shared with us will be kept strictly confidential and will not be disclosed to third parties without prior written consent.

Payment Terms

A 50% deposit is required to begin all fixed-rate projects unless otherwise agreed.

The remaining 50% is due prior to final delivery or go-live of the project.

Hourly work is invoiced weekly, fortnightly, or monthly based on agreed terms.

We accept payment via bank transfer, Stripe, or other agreed upon methods.

Late payments may incur a 5% fee for every 14 days past the due date.

Ownership of deliverables is retained by Woods Media Promotions until full payment is received.
